MEETING AND RECORDING CLERK

The Town of Athol seeks a per diem meeting and recording clerk for the Conservation Commission.  This is a non-benefitted position whose primary duties are to prepare and post meeting agendas, attend Conservation Commission meetings, take notes of the proceedings and generate minutes to serve as the official record of the meeting, and perform miscellaneous administrative tasks. 

The Conservation Commission typically meets on the fourth Tuesday of each month at 6:00 p.m. in the Town Hall with the meetings generally running one to two hours in length.  Depending upon development activity the commission may hold a second meeting during the month.  Compensation is $1,800 annually ($150 per month) for preparation and posting of agendas, attendance at meetings and submittal of draft and final minutes together with the administrative duties.   Deadline to submit a resume is Thursday, May 18th by 5:00 p.m.

MEETING AND RECORDING CLERK

Specific Duties

PREPARE AGENDA:  Works with the Commission chairperson to develop meeting schedules and agendas and to ensure agendas are posted in a timely manner with the Town Clerk consistent with the Massachusetts Open Meeting Law.

ATTEND MEETINGS:  Arrive five minutes prior to posted meeting time at the location specified (generally Town Hall) prepared with suitable materials and/or equipment to take notes or create minutes.

SUBMIT DRAFT MINUTES:  After each meeting, a set of draft minutes should be forwarded to the Conservation Commission (or ConsCom) chairperson within seven days of each meeting.  An invoice for services should be submitted for processing by the Town on a monthly basis.

PREPARE AND POST FINAL MINTUES:  Revise as directed and approved by ConsCom, provide final minutes to ConsCom membership, file minutes with the Town Clerk and post on official Town website.

MISCELLANEOUS ADMIN DUTIES:  May include sending notices, correspondence and drafting ConsCom orders of conditions or other filings.
